1. Booking Confirmation
- A booking is confirmed only after receipt of the required advance payment and written confirmation from MiVida Events.
2. Advance Payment
- A non-refundable advance of 20% of the total quotation is required to confirm the booking.
- The remaining balance must be paid at least 7 days before the event, unless otherwise agreed in writing.
- Work will commence only after receipt of the advance payment.
- The remaining payment must be completed once the MiVida Events team reaches the venue. Setup will begin only after payment confirmation.
3. Venue Visit
- One complimentary venue visit is included after booking confirmation.
- Venue visits before booking confirmation may incur additional charges.
- If the venue is changed after planning has started, requiring additional site visits may be chargeable.
4. Quotation Validity
- All quotations remain valid for 15 days from the date of issue.
- Prices are subject to revision if there are changes in design, scope, venue, event date, or market rates.
5. Design & Customization
- Final designs, colours, and themes will be executed as closely as possible to the approved concept.
- Due to seasonal availability, flowers, props, or materials may be substituted with similar items of equal or higher quality without affecting the overall appearance.
6. Client Responsibilities
- The client shall ensure timely access to the venue during setup and dismantling.
- Necessary permissions from the venue or local authorities shall be obtained by the client unless specifically included in our scope.
- Uninterrupted electricity and other venue utilities must be made available during setup and the event.
7. Payment Delay
- Delay in payment may result in postponement of work or cancellation of the booking.
- Mivida Events reserves the right to withhold setup until outstanding payments are cleared.
8. Cancellation & Rescheduling
- The booking advance is non-refundable.
- Rescheduling is subject to date availability and must be requested at least 7 days before the event.
- Any expenses already incurred for customized materials or bookings will be payable by the client.
- Cancellation post booking will be subjected to cancellation charges.
9. Damages
- The client shall be responsible for any loss or damage caused to decorations, props, rental items, or equipment due to negligence or misuse by guests or venue staff.
10. Photography & Portfolio
- Mivida Events reserves the right to photograph or record completed decorations and use such images for marketing, social media, and portfolio purposes unless the client requests otherwise in writing before the event.
11. Force Majeure
- Mivida Events shall not be liable for delays or inability to perform services due to circumstances beyond its control, including natural disasters, extreme weather, government restrictions, strikes, power failures, or other unforeseen events.
12. Changes After Confirmation
- Any changes requested after booking confirmation may be subject to feasibility, availability, and additional charges.
13. Setup & Dismantling
- Setup and dismantling schedules will be coordinated with the venue/ client.
- All rental items remain the property of MiVida Events and must not be removed or altered by the client or guests.
14. Acceptance
- Payment of the booking advance signifies that the client has read, understood, and accepted these Terms & Conditions.
